Estate Ledger, for letting agencies and landlords

Every door, every tenant, every shilling.

Estate Ledger keeps the rent roll for a letting agency or a landlord: who lives where, what each tenant owes and since when, what each landlord is due after commission, and a receipt for every payment. It runs in the browser of any phone or computer, so the office and the caretaker work from the same books.

  • Arrears aged to the day
  • Commission exact on every bill
  • Receipts on WhatsApp

The whole rent book, from move-in to the landlord’s statement

One account for an agency, its office and its caretakers, or for a landlord who collects their own rent.

  • Properties, units and tenants

Every building and its units, who lives in each, the lease, the rent and the deposit. Move in, record a notice, move out.

  • Rent, payments and receipts

Bills raised ahead of each period. Cash, mobile money and bank, part payments and credit, and a receipt for each.

  • Arrears and reminders

Every overdue bill aged from 0 to over 90 days, with the last call, the promised date and a reminder in one tap.

  • Landlord statements and payouts

Commission on every bill, expenses charged to the landlord and payouts, on a statement that is right the first time.

  • Deposits

Held for the tenant, never counted as income, and settled at move-out with a printed statement.

  • Repairs and meters

Repair requests, with photos from tenants on the portal, costs charged to the right person, and water or power readings turned into bills.

  • Tenant and landlord portals

Tenants see what they owe and their receipts; landlords see their statements and payouts, without phoning you. On the paid plans.

  • Reports

The rent roll, collections, arrears, occupancy, commission and deposits held, as CSV, Excel and PDF.

  • Moving from another system

CSV templates for landlords, properties, units, tenants and balances, checked in a dry run before anything is saved.

For the people who run the rent

Two modes, chosen at setup: an agency managing for landlords, or a landlord managing their own property. Caretakers work in their phone’s browser.

  • Letting agencies

Agencies managing rooms, flats, houses and shops for many landlords, with staff at the office and caretakers in the field.

  • Landlords

Landlords who collect their own rent from a building or a few houses, and want a rent book that adds up.

  • Caretakers

Caretakers who collect rent, read the water meters and report repairs in their phone’s browser, for their own buildings only.

Books that still add up a year later

An agency holds other people’s money: the landlords’ rent and the tenants’ deposits. These are the rules Estate Ledger keeps so the figures stay right.

  • Every shilling posted once

A payment is recorded once, in whole shillings, as balanced entries. Every balance is added up from them, never typed in or kept on the side.

  • Reversed, never edited

A wrong payment, payout or expense is reversed with a reason and a name. Nothing posted is changed or deleted, so last month’s statement never moves.

  • Deposits are the tenant’s

A deposit is held by the agency or the landlord until move-out. It is never counted as the agency’s income or as the landlord’s rent.

  • Each person sees their part

A caretaker sees only their buildings. Tenants and landlords sign in to their own portal, never as staff, and see only their own figures.

What agencies and landlords ask first

The full list is on the questions page. Something else? Ask a person.

What does “paid up to” mean?

The date a tenant’s rent is paid to. When a tenant pays ahead, the money is kept as credit and settles each new bill as it is raised; “paid up to” shows how far it reaches.

In which order does a payment settle bills?

The oldest bill first, by due date. On the same date: the deposit, then the rent, the fees beside the rent, utilities, one-off charges and late fees last, so a payment never goes to a penalty before the rent.

Is the rent billed in advance?

Yes, for each period, a few days before it starts (five by default), monthly or every three, six or twelve months. The period runs from the move-in day, or from the 1st with a part-month first bill if you set it so.

Do you charge late fees?

Estate Ledger charges none unless you switch late fees on. Then each rent bill unpaid after the grace days gets one fee, flat or a percentage, kept by the agency or the landlord as you choose.

Can a caretaker see every building?

No. A caretaker sees only the properties they are assigned to. The property manager, the accountant and the account owner see all of them.
