Everything in Estate Ledger

What Estate Ledger does today for a letting agency and for a landlord, from a tenant’s first bill to the landlord’s payout. The pictures are drawn samples with made-up names and figures.

Properties, units and leases

A property has units: rooms, flats, houses, shops or offices, each with its rent and deposit. A lease ties a tenant to a unit, from move-in to move-out.

  • Occupied is worked out from the lease, never typed, so a unit is never let twice.
  • Fees beside the rent, such as garbage, security or water, billed with it.
  • Notices, rent changes and one-off charges, each with the date and the reason.

Rent, payments and receipts

Bills are raised a few days before each period. A payment settles the oldest bill first, money paid ahead waits as credit, and every payment has a receipt.

Payments and receipts in detail

Arrears and reminders

Every overdue bill aged 0 to 30, 31 to 60, 61 to 90 and over 90 days, with each call logged and the date the tenant promised to pay.

Landlord statements and payouts

Commission on each bill, exact once it is paid in full, expenses charged to the landlord and payouts, on a statement for any period.

Deposits, settled at move-out

The deposit is the tenant’s money until they leave. At move-out it settles what is owed, the rest is refunded, and the settlement prints.

Repairs and meter readings

Repair requests, with a photo when a tenant reports one on the portal, their cost charged to the right person, and water or power readings turned into bills at your rate.

Tenant and landlord portals

On the paid plans, tenants and landlords sign in to their own portal and see their own figures: what is owed, the receipts, the statements and the payouts.

Reports and exports

The rent roll, collections, arrears ageing, occupancy, commission, expenses, deposits held and the cash book, read from the same books as the statements.

  • For any period and any property, as CSV, Excel or PDF.
  • Reports are for the office: caretakers see their buildings’ tenants and balances, not the reports.
