Terms of service

Last updated: 4 November 2026

1. These terms

These terms are an agreement between you and the team that provides Estate Ledger (“we”, “us”), for the use of Estate Ledger: the website and the web portal. By opening an account or using Estate Ledger you accept them on behalf of yourself and the agency or property you register. If you do not agree, please do not use it.

2. The service

Estate Ledger keeps a letting agency's or a landlord's rental records: properties, units, tenants, leases, bills, payments and receipts, deposits, landlords' statements and payouts, expenses, repairs and meter readings, with staff logins and, on the plans that include it, a portal for tenants and landlords. We may improve, change or add features over time. If we remove something important to paying accounts, we will tell you in advance.

Estate Ledger is a record-keeping tool. The figures it shows come from what your staff enter. It is not accounting, legal or tax advice, and you remain responsible for your books, your tenancy agreements, the money you hold for landlords and tenants, and your obligations to them and to the authorities.

3. Your account and staff

  • The person who opens the account is its owner and controls its plan, its staff logins and its settings.
  • Give us true details and keep your password private. You are responsible for what is done with your staff's logins.
  • Give each person their own login and a role that fits their job, assign caretakers only to their buildings, and remove access when someone leaves.
  • Open a portal sign-in only for a tenant or landlord who is yours, with their own email or phone number.
  • Tell us straight away if you think someone else has used your account.

4. Trial, plans and payment

  • Estate Ledger has its own plans, shown on our pricing page, priced by the units you manage. An account within the free plan's limits pays nothing.
  • Paid plans are billed in advance for each period at the price shown when you pay. You can pay by mobile money or card.
  • When an account is over a plan's limit, rent, payments and receipts carry on; only adding units, staff or files waits for a bigger plan. We do not delete records because a payment is late.
  • We may change our prices. A new price applies from your next period after we have told you about it; it never changes a period you have already paid for.
  • Payments are not refundable for a period already started, except where the law requires otherwise or we decide to make an exception.

5. Your records

  • The records you put into Estate Ledger belong to you. We use them only to provide the service, as described in our privacy policy.
  • Where the records include tenants' or landlords' personal information, you are responsible for having a lawful reason to keep it, and we process it on your behalf.
  • We back up the service every night, but you should still keep your own copies of your statements and reports.

6. Messages to tenants and landlords

Estate Ledger writes receipts, reminders and statements as messages you send from your own phone, by WhatsApp or SMS, in your own name. Only message tenants and landlords who have given you their number for that purpose. You are responsible for what your messages say: never threats or harassment over arrears.

7. Acceptable use

You must not use Estate Ledger to:

  • break the law, including the law on tenancies and on personal data, or hide money from landlords, tenants or the authorities;
  • send spam, threats, or harassing collection messages;
  • try to reach another account's records, test our security without our written permission, or overload the service;
  • copy, resell or rebuild Estate Ledger, or share one account between separate businesses.

We may suspend an account that breaks these rules, and will tell its owner why unless the law prevents us.

8. Availability

We work to keep Estate Ledger available at all times, but it may occasionally be unavailable for maintenance or for reasons outside our control, such as internet or power failures. Estate Ledger is a web service and needs a connection: without one, nothing can be recorded. There is no phone app today. If we release one, these terms will cover it, and we will tell you of anything it changes.

9. Closing your account

  • The owner can close the account. Closing takes effect after 30 days, during which it can be cancelled. After that, the account's records are permanently deleted, so keep copies of anything you need beforehand.
  • We may close an account that has seriously or repeatedly broken these terms, after warning its owner and giving time to keep copies, unless the law requires us to act sooner.

10. Liability

We provide Estate Ledger with reasonable care and skill. To the extent the law allows, we are not liable for indirect losses, or for losses caused by wrong information entered into the service, by your staff, or by events outside our reasonable control. Our total liability to you in any twelve months is limited to the amount you paid us for Estate Ledger in that period. Nothing in these terms limits any right you have that the law does not allow to be limited.

11. Law, changes and contact

These terms are governed by the laws of Uganda, and the courts of Uganda have jurisdiction over any dispute. Before going to court, please contact us so we can try to resolve it.

We may update these terms. If a change matters, we will tell account holders before it takes effect; using Estate Ledger after that means you accept the updated terms.
