Payments and receipts

A receipt for every shilling received

Tenants pay in pieces, early, late and by every channel there is. Estate Ledger takes each payment as it comes and works out exactly what it settled.

Receiving a payment

Find the tenant or the unit and type the amount, and Estate Ledger shows what it will settle before you save it. Record cash, mobile money with its reference, the bank or a cheque, in the browser of a computer or a phone.

  • The oldest bill first: by due date, then the deposit, the rent, the fees, utilities, one-off charges, and late fees last.
  • Paid ahead: the rest is kept as credit and settles the next bills by itself.
  • Paid up to: the date the tenant is paid to, on every screen and receipt.

The receipt

Each receipt has its number, the date, the tenant, the unit, the amount in figures and in words, how it was paid, what it settled, the credit left, the balance still owed and who received it.

  • Shared on WhatsApp or SMS from your own phone, in one tap.
  • A PDF to print from the browser or send.

Mistakes are reversed, not edited

A payment entered against the wrong tenant is reversed with a reason, by someone allowed to reverse. The bills it paid open again, credit is applied again, and both entries stay on the record with names and times.

Late fees, if you charge them

Off unless you switch them on. Then each rent bill still unpaid after the grace days gets one late fee, flat or a percentage of what is left, kept by the agency or the landlord as you choose. Never more than one a bill.

Questions about payments and receipts

More on the questions page.

Does Estate Ledger collect mobile money by itself?

No. Tenants pay to your mobile money number as they do today, and you record the payment with its reference.

Can a caretaker take payments?

Yes, in their phone’s browser, for the buildings they look after, with a connection. See the caretakers’ page.
