Your rent books are yours

An agency's books hold other people's money: landlords' rent and tenants' deposits. This is what we do to keep them right and private, in plain words, and nothing we don't actually do.

  • Every account is kept apart

Every landlord, unit, tenant, bill and payment carries the account it belongs to, and every request is filtered to the signed-in person's account by the system itself. A changed or forged form cannot write into another account.

  • Each person sees only their part

A property manager, an accountant and a caretaker each have their own permissions, and only the roles you allow can reverse a payment, pay a landlord or change the settings. A caretaker sees only the buildings they are assigned to.

  • Money is never quietly changed

A payment, payout or expense is reversed with a reason, never edited or deleted, and every change records who made it and when. Every night the books are checked: each entry balances, and every balance adds up to its entries.

  • Tenants and landlords sign in on their own

Their portal sign-in is never a staff login and sees only their own figures. Five wrong passwords lock it for 15 minutes, and a refusal never says whether the sign-in exists.

  • ID numbers and files

Tenants' ID numbers are stored encrypted and never appear in logs or exports, except on the tenant's own record. Tenants' photos and documents are private and open only through links that expire.

  • Backed up every night, restore tested every week

The whole database is backed up automatically each night. Every week the latest backup is restored into a separate database and checked, so we know a restore works before we ever need one.
