Tenants and leases
Every unit, who lives there and on what terms
The rent roll is the list a property manager lives by. In Estate Ledger each line of it is a lease: a tenant in a unit, with the rent, the deposit, the fees beside the rent and the dates.
Properties and units
Add a property with its landlord, then its units: single and double rooms, self-contained rooms, flats, houses, shops, offices or stalls, each with its asking rent and deposit. A property’s units show in one grid, by status.
- Occupied is worked out from the lease, never typed, so a unit is never let twice.
- Reserved or under repair: a unit can be held back from letting.
- Water and power meter numbers on each unit, for the readings and the bills.
Moving a tenant in
Three steps, with the first payment there and then if the tenant pays it.
- The unit. Pick a vacant unit; its rent and deposit come with it.
- The tenant. A new tenant or one you know, a person or a company, with a phone number, an ID and a next of kin.
- The terms. The start date, the rent, paid monthly or every three, six or twelve months, the deposit and fees such as garbage, security or water.
- The first payment. Take it at once, with a receipt, or later.
Rent billed ahead
Rent is billed in advance for each period, a few days before it starts (five by default). The period runs from the move-in day, or from the 1st of the month with a part-month first bill if you prefer. The fees beside the rent are billed with it.
Notices, rent changes and one-off charges
Record a tenant’s notice and the planned move-out day. Change the rent from a coming period, with the reason kept. Add a one-off charge, or waive part of a bill with a reason when the landlord forgives it.
Moving out
On the move-out day, record the last meter readings and any damage, settle the deposit and refund what is left. The lease ends, billing stops, and anything still owed stays on the former tenant’s record.
Questions about tenants and leases
More on the questions page.
Can one tenant rent two units?
Yes. Each unit has its own lease, with its own rent, deposit and bills, and the tenant’s page shows both.
Are tenants’ ID numbers kept safe?
The ID number is stored encrypted and never appears in logs or exports, except on the tenant’s own record.
